Where do AI-generated files live? Storage, links and deletion

Know where an AI assistant stores the files it creates, who can open the link, how long it is kept and how an admin deletes it. A buyer checklist.

A file an AI assistant creates is stored somewhere: the vendor's cloud, your device, or a drive you connected. Ask where, who can open its link, how long it is retained, and how an admin finds and deletes it. If the vendor cannot answer in writing, treat the feature as unreviewed.

Three places a generated file can sit

On the device. The file is saved to a local folder. Your existing endpoint rules, backups and disk encryption apply. Risk is mostly about what else on the device the assistant could read while building it.

In the vendor's cloud. The file is held in vendor storage and offered through a download link. Your retention and deletion depend on the vendor's controls and contract.

In your connected storage. The assistant writes into a drive you already manage. Your existing sharing and retention settings apply, though the assistant's write access needs its own review.

Many products use a mix. Ask for a diagram or a table of which case applies to which feature.

Link behavior

The link is often the weak point. Ask:

  • Is the link tied to a signed-in identity, or can anyone with the URL open it?
  • Does it expire, and can the owner shorten that?
  • Can a user turn a private file into a public one?
  • Can an admin turn off public links across the organization?
  • Do forwarded links still work for people outside the company?

Test it. Open a generated file link in a private window without signing in. Whatever happens is the true default.

Retention and deletion

QuestionWhy it matters
How long are generated files kept by default?Data you do not need should expire
Is retention configurable per organization?Aligns with your own schedule
What does delete remove: file, link, backups?Understand residue
Is deletion confirmed in logs?Evidence for audits
Do deleted conversations remove their files?Avoid orphans
Can legal hold override deletion?Know your obligations

Retention terms usually live in the contract or the vendor's documentation, so ask for the specific page or clause. Do not rely on a verbal answer. If the numbers change by plan or by region, record which plan you are on.

Admin visibility

An admin should be able to search generated files by user and date, see who accessed them, and delete them. If those controls exist only for the user, central teams cannot respond to an incident or a data subject request. Check the console for these views during a trial, not after signature.

Data classification

Files built from sensitive sources are as sensitive as the sources. Decide ahead which classes of data an assistant may read for file creation. A common rule: confidential and regulated data stays out of file generation until storage, link and retention controls are confirmed, and personal data is limited to what the task needs.

For related requirements on how long records should be kept, see audit evidence retention.

Record what you learn

Keep a one page record per feature: storage location, link default, retention, admin controls, and the document or test that proves each. Safeguard's compliance and evidence automation can keep that record alongside your other control evidence.

A worked example: the board summary

An executive assistant uses an AI tool to produce a board summary PDF from three internal documents. Follow the file from creation to deletion.

  1. Creation. The file is built in the vendor's cloud from documents the user attached.
  2. Storage. It is held in vendor storage under the user's account, and a link is offered.
  3. Sharing. The user emails the link to board members, some of whom use personal email addresses. If the link is public, anyone who receives a forwarded copy can open it.
  4. Retention. The vendor keeps it for a default period, and the user deletes the conversation after the meeting, assuming the file goes too.
  5. Deletion. Whether the file is actually removed depends on what delete covers in this product. If the file lives on after the conversation is gone, it is an orphan with no owner paying attention.

Every step has a question from this post attached to it. The most common failures are in steps three and five: links wider than intended and deletion that does not reach the file.

Step by step: audit a feature in an hour

  1. Generate a file with a test account and note where the product says it is stored.
  2. Copy the link and open it in a private window.
  3. Forward the link to a second test account outside your organization.
  4. Delete the conversation and test the link again.
  5. As an admin, search for the file and try to delete it directly.
  6. Read the retention terms and write down the period and any plan or region differences.
CheckPass looks like
Private window opens the linkIt does not, or asks for sign in
Outside account opens the linkAccess denied unless you allowed it
Link works after conversation deleteIt stops, or you know it does not and have a rule

Writing the rule for staff

Staff need a short rule, not a policy document. For example: generated files that include customer or personal data stay in company storage and are shared through company sharing, not through the tool's own links. Everything else may use the tool's links, set to organization only. Anyone unsure asks the owner of the feature.

Incident readiness

Decide ahead who can find and delete a generated file if it was shared by mistake, and how quickly. Test that path once. If a file with personal data was shared with the wrong person, you will want deletion, a record of who opened it and a clear owner already in place.

Try it yourself

Click through it at your own pace, or open it full screen. Look at how controls map to evidence, and which records you would keep for storage and deletion checks.

Quick check

Are generated files covered by our existing retention policy?

Only if they land in storage that policy governs. Files held in a vendor's cloud follow the vendor's controls unless you configure otherwise.

What is the quickest test of link safety?

Open a generated file's link in a private browser window with no sign in. If it opens, the link is public.

Do generated files fall under data subject requests?

They can, if they contain personal data. Make sure an admin can search and delete them, and record how you would respond.
