An evidence pack for security reviews: what to keep ready

Keep a ready evidence pack for buyer security reviews: folder layout, what to include, redaction, versioning and who can send what.

An evidence pack is a folder of current, redacted documents you can send within a day: policies, reports, diagrams and screenshots that back up common answers. The point is speed and consistency. Reviewers receive the same material every time, and no one assembles files in a panic.

Why a pack beats ad hoc sending

Without a pack, each request triggers a hunt: find the policy, find the screenshot, wonder whether it is the latest. Mistakes creep in. Old versions go out. A pack turns that hunt into a lookup.

A folder layout

Keep it simple, with numbered folders so the order is obvious:

  1. Overview. Security overview, data flow diagram, subprocessor list.
  2. Policies. Summaries or full policies for information security, access control, incident response, vendor management and acceptable use.
  3. Attestations. Audit reports and letters, with dates and scope.
  4. Testing. Penetration test summary letter and a description of scanning.
  5. Operations. Backup and recovery summary, incident response overview, change management description.
  6. People. Training and screening descriptions, not personal records.
  7. Contracts. Standard data processing agreement and NDA.

What every file needs

  • Version and date in the filename or header.
  • Owner recorded in an index sheet.
  • Distribution level. Public, NDA or internal only.
  • Redaction check. No customer names, secrets, internal hostnames or personal data.

The index sheet

Create one table listing each file, its owner, its distribution level, last review date and the questionnaire topics it supports. This is the page that makes the pack usable.

Access and sending

Limit write access to owners. Let the coordinator send from a read only copy. Log what was sent to whom. See who owns security questionnaires.

Refresh rhythm

Review the pack quarterly and after major events such as a new audit report, a new region, a provider change or an incident. An out of date pack is worse than none, because people trust it.

Automate what you can

Evidence that comes from systems, such as access review exports or configuration snapshots, is best collected by tooling on a schedule. Safeguard's compliance and evidence automation does this kind of collection, so the pack can reference recent exports instead of manual screenshots.

Quick check

Should the pack include internal policies in full?

Usually a summary or the full text under NDA. Internal policies can contain operational details you do not want public.

How do we redact safely?

Use a tool that removes content, not a black box laid over text. Check the output by trying to copy the hidden text.
