At renewal, review your compliance platform against what you needed during the first audit: hours saved, evidence your auditor accepted, features you used, features you did not, and what the next year looks like. Then decide to renew as is, renegotiate scope, switch, or step back to a lighter approach.
Gather facts before the renewal call
Start about two months before the notice date. Collect:
- Hours. How many hours per week did the owner spend, compared with your expectation?
- Auditor feedback. Which evidence was accepted without question, and which caused rework?
- Findings. Did the audit surface issues the tool had flagged, or ones it missed?
- Usage. Which modules, integrations, and frameworks were used? Which sat idle?
- Incidents. Any sync failures, wrong results, or support problems?
If you kept the criteria from your original evaluation, score the tool against them again.
Questions to answer
- Would we notice if we turned it off for a month? If not, what is it doing for us?
- Are we paying for frameworks or seats we do not use?
- Is a second framework coming, and does the tool handle it well?
- Has our stack changed, and do integrations still cover it?
- Has the vendor changed anything, such as new terms, ownership, or features removed?
Options at renewal
Renew as is. Reasonable when the tool is working and your needs are stable.
Renew with a smaller scope. Drop unused modules. Ask for the change in writing.
Renew and expand. Add a framework if a customer requires it, after checking the mapping quality. See how to judge framework mapping quality.
Switch. Plan it between audit windows. See switching compliance platforms.
Step back. If the team now knows the routine, a spreadsheet and a few scripts might suffice. This is a legitimate choice, but weigh the loss of continuous monitoring.
Keep your own record
Whatever you decide, export a dated archive of policies, evidence, and history before the renewal date. It protects you if the relationship changes.
Plan for the next window
Use the renewal to set the next audit date, assign owners, and schedule recurring tasks. Compliance is a cycle, and the lull after an audit is a good time to fix process gaps.
Talk to the vendor with data
Bring your numbers to the renewal call. If an integration failed twice during fieldwork, say so and ask for a remedy in the contract. If you used half the modules, ask for a plan that matches. Vendors tend to respond to specific, documented points more than to general unhappiness.
Ask also for the product roadmap items that affect you, and treat them as hopes rather than terms unless they are written into the order.
Where Safeguard fits
Safeguard provides compliance and evidence automation along with SBOM and dependency scanning and policies and gates. The free scan at gold.safeguard.sh/scan is available at any time for a fresh look at dependencies.
Quick check
When should I start the renewal review?
About two months before the notice deadline, so you have time to negotiate or change course.
Is it fine to leave after one audit?
Yes, if you have measured the value and the manual route fits your team. Keep an archive either way.
