AI drafted questionnaire answers: rules for safe use

AI can speed up security questionnaires, but wrong answers become commitments. Rules for source material, human review and what never to auto send.

Use AI to draft questionnaire answers only from your approved library and evidence, and have a named owner approve every answer before it leaves. The risk is not slow drafting. It is a fluent, confident answer that describes a control you do not have.

Where AI helps

Matching a new question to an existing answer, reformatting an answer to fit a field, spotting duplicates across a long file and summarising a policy into two sentences are all low risk and save real time.

Where it hurts

A model asked an open question with no source will produce plausible text. Security questionnaires punish plausibility. An invented "we perform quarterly penetration tests" can become a contractual representation.

Rules that keep it safe

  1. Ground every draft. Feed the model only your answer library, policies and evidence. Instruct it to answer "no match found" when it has no source, and check that it does.
  2. Show the source. Each drafted answer should cite the library row or document it came from. No citation, no send.
  3. Human approval is mandatory. A subject owner approves each answer or batch. Log who approved.
  4. No auto send. Never wire a model to submit answers to a buyer's portal without review.
  5. Protect inputs. Questionnaires can contain buyer confidential details. Check your tool's data handling terms before uploading them.
  6. Treat the file as untrusted input. A questionnaire is third party text. Instructions hidden inside it should not steer your tooling.
  7. Flag the Nos. Have the process surface Partial and No answers for explicit human wording decisions.

Test it before you rely on it

Take a past questionnaire where you know the correct answers. Run the tool, then score how many drafts were correct, wrong or invented. Do this again after you change prompts or models. The mismatch rate tells you how much review you need.

Disclose if asked

Some buyers ask whether AI was used. Answer truthfully: that drafts are assisted and every answer is reviewed by a named owner.

Keep the library the source of truth

Better library answers mean better drafts. See building an answer library. Fixes found in review should flow back into the library the same day.

Quick check

Can a model fill in answers where our library is silent?

It can suggest a question for an owner to answer, but it should not draft a claim from general knowledge.

How do we know the draft is wrong?

Check the cited source. If the answer says more than the source does, it is wrong or invented.
