To get through a large customer's security review, build an evidence pack before the questionnaire arrives: policies, access controls, a dependency inventory, incident process and a plain statement of your compliance status. Answer truthfully and consistently. Overclaiming costs more deals than honest gaps.
Build the pack in advance
Collect these in one folder, reviewed within the last year:
- Policies: information security, access control, incident response, vulnerability management, vendor management and data retention. Short and followed beats long and ignored.
- Architecture overview: where data lives, how it flows, how tenants are separated, and what sub processors you use.
- Dependency inventory: a software bill of materials for the main product, plus how you handle vulnerabilities and how fast.
- Access evidence: single sign on and multi factor authentication settings, a recent access review, and your offboarding record.
- Testing: summary of your latest independent penetration test and how findings were fixed.
- Incident process: contact point, notification approach and time frames you can actually meet.
State your compliance position accurately
Use precise words. If an audit is underway, say it is underway, not complete. If you follow a framework without an independent report, say that you align with it, not that you are certified. Check your wording with the person who will answer follow up questions. Inconsistent answers across documents are a red flag to reviewers.
Answer the questionnaire well
- Assign one owner who coordinates, and subject experts who write.
- Reuse approved answers from a library, and update it after each review.
- Answer the question asked, briefly, and attach evidence.
- Where the honest answer is no, say what you do instead and when you plan to close the gap.
- Do not guess. "We will confirm" is acceptable. A wrong answer in a signed document is not.
Expect follow up on these topics
Encryption in transit and at rest, backup and recovery tests, employee background checks and training, secure development practices, handling of customer data in support, subcontractors, and location of data processing. Prepare a paragraph for each.
Keep it fresh
Put a quarterly reminder to refresh the pack and the answer library. Many reviews reuse last year's answers, and stale answers create risk.
Safeguard's compliance and evidence automation can collect much of this, and its SBOM export supports the inventory item.
Track which questions come up repeatedly and turn the answers into public or shareable material, such as a short security overview page. This reduces the load on the team and shows maturity. Make sure whatever you publish matches what you say in questionnaires, since reviewers compare. Have a named person who can join a call and answer technical questions without delay.
Quick check
What if we do not have a SOC 2 report yet?
Say so plainly, share what controls you operate with evidence, and give a dated plan you control.
How long should answers be?
As short as accuracy allows, with a document attached for anything that needs detail.
